Reminders: Spring Concert Series Call Times & Other Concert Information

Musicians: Please bring your music and music folder to both concerts.

All music folders must be turned in following the concert on Sunday.

If you use a school instrument, be sure to take the instrument home with you on Friday.


The pre-concert, warm-up rehearsal times for Youth Symphony and for Youth Orchestra are listed below. Musicians are expected to be in concert dress, seated on stage, tuned, and ready to rehearse.

NOTE: Arrive 15 minutes before the pre-concert rehearsal time to unpack and tune.  

BE ON TIME AND IN REQUIRED CONCERT DRESS FOR YOUR ENSEMBLE.  BRING YOUR MUSIC.

Payment by cash or check is preferred at the concert in Ashland.

Tickets for the two concerts are not interchangeable.
 
Medford concert tickets provided to YSSO musicians/families cannot be used for the SOU performance or exchanged for tickets to the SOU performance.

Attendance

If a Youth Symphony or Youth Orchestra musician is unable to attend a concert, contact Cynthia Hutton (see your e-mail for her contact information) immediately. E-mail messages sent to the conductor and/or calls and e-mails to the YSSO office in the evening or on a weekend will not be received. Please call the conductor if you need to reach her on the weekend. NO ONE will receive your call or e-mail to the YSSO office on the weekend. My cell number is included at the bottom of each e-mail in case of an emergency, but you must contact Cindy. Please do not ask other musicians/families to communicate on your behalf. Send an e-mail to the YSSO office (info@ysso.org) to confirm you have communicated directly with the conductor. 

Musicians who are late or absent without prior communication with and approval of the conductor will be contacted by a member of the YSSO staff or governing board.

Concert Dress & Appearance

Concert dress for Youth Symphony musicians and for Youth Orchestra musicians is on the YSSO web site and information was included in each music folder. Musicians are members of a team, and each ensemble must present a unified appearance. The focus should be on the ensemble as a whole and the music it is performing rather than on the dress/attire or appearance of an individual musician in an ensemble. Keep in mind, concert attire for the Youth Orchestra and the Youth Symphony is not the same. Follow the instruction of staff and volunteers.

Youth Symphony and Youth Orchestra Assigned Music & Music Folders

A YSSO music folder was assigned to each Youth Symphony and Youth Orchestra musician at the first rehearsal of the concert season or concert series. YSSO musicians are required to keep the folder and all music in good condition. 

Music and music folders must be turned in following the concert on Sunday. Watch for signs with instructions and look for the large tote boxes on Sunday.

Each assigned music folder must be returned to the YSSO on Sunday.  NOTE:  YSSO musicians/families must pay for missing, lost, or damaged folders and music.

Safety & Supervision

Parents must keep in mind that they are responsible for their children at all times.

All venues and facilities used by the Youth Symphony of Southern Oregon organization for rehearsals, concerts, and events, including North Medford High School, OCA Music Building & Recital Hall at SOU, Craterian Theater, Grants Pass Performing Arts Center, Parkway Christian Center, and all other venues are busy facilities that host and present multiple events and activities throughout the year.  Each facility has established rules and regulations governing the use of the building.  All YSSO personnel and families must respect and follow these regulations and rules, as well as the policies and expectations of the YSSO. 

Musicians should stay in the designated warm up areas at each venue until YSSO organization volunteers, staff or board members escort them to the stage or other area reserved for musicians in an ensemble.
The following will ensure the safety, comfort, and proper conduct of YSSO musicians:
• Parents are responsible for ensuring that YSSO musicians arrive on time and are picked up immediately following each rehearsal or concert.
• YSSO musicians are to be in the designated rehearsal or warm-up/waiting area at each site 15 minutes before the on-stage pre-concert rehearsal time.  Please refer to and review the YSSO e-mail reminders for locations and pre-concert rehearsal times for each ensemble.
• YSSO musicians will not be allowed to wander or run in the hallways, remain backstage during any part of a concert, or remain in the lobby during a performance. Noise will not be tolerated.
• YSSO musicians will remain in the designated warm-up/waiting area(s) prior to and following pre-concert rehearsals and during portions of the performance in which they are not involved unless seated in the audience.
• YSSO musicians under the age of 16 will not be allowed to leave the concert venue while a YSSO performance is underway unless they are accompanied by a parent/guardian or supervising adult.
• YSSO musicians are to use the buddy system when using restrooms and then return to the designated warm-up/waiting area immediately.
• The YSSO strongly recommends that parents or guardians come into the lobby following the concert to pick up a child or children. The YSSO suggests that musicians waiting for parents/guardians following a concert remain in the venue lobby rather than waiting outside a venue.
• YSSO musicians may not take food or drinks into rehearsal rooms.
• Food/drinks may be permitted in the warm-up rooms at concert venues prior to the concert depending on the policies of each venue. Please do not assume food/drinks are allowed at each venue.

YSSO musicians who do not comply with the regulations and policies of the YSSO, or the concert/rehearsal venues may be suspended from performing in one or more of the concerts.


Craterian Theater Information

The Craterian box office is now located inside the Craterian Theater building.

Please note the following policies of the Craterian Theater:

1:30 p.m.  – Craterian Theater Call Time (May 19) for Youth Orchestra
(musicians must arrive 10-15 minutes before the call time to unpack and tune)
Musicians must enter via the stage door on 8th Street. Musicians do not enter through the lobby.
-  Parents and family members are not allowed backstage or in the auditorium before the auditorium opens.
-  The lobby and public restrooms will be open.
-  Parents and family members must enter the lobby through the front doors (off Vogel Plaza on Central Avenue between Main and 8th Streets).

2:00 p.m.  -  Craterian Theater Call Time (May 19) for Youth Symphony
(musicians must arrive 10-15 minutes before the call time to unpack and tune)
Musicians must enter via the stage door on 8th Street. Musicians do not enter through the lobby.
-  Parents and family members are not allowed backstage or in the auditorium before the auditorium opens.
-  The lobby and public restrooms will be open.
-  Parents and family members must enter the lobby through the front doors (off(Vogel Plaza on Central Avenue between Main and 8th Streets).

2:30 p.m.  -  Craterian Theater Auditorium Opens

Craterian Theater ushers will be stationed at the doors to scan tickets/e-tickets and hand out programs.
3:00 p.m.  -  Concert Begins

NOTE: Instruments/cases may not be stored in the lobby area or taken into the auditorium.

In addition to the above, the following items are not permitted inside the Craterian Theater auditorium:

  • Food or beverages (including water)
  • Strollers or baby carriers
  • Knapsacks
  • For safety reasons, tripods/monopods, electrical cords, or large camera cases are not allowed in the auditorium.

Please follow YSSO and venue regulations.

Please turn off all beepers, cell phones, and alarms during the concert.

Post-Concert Reception – Sunday Only

A post-concert reception will follow the performance on Sunday afternoon only.
